Privacy policy
This Privacy Policy describes how PoolTechDesk ("we," "us") collects, uses, and protects information when you use pooltechdesk.com and the PoolTechDesk app (together, the "Service").
1. Information we collect
We collect a few categories of information:
- Account information: name, business name, email address, and billing details you provide when you sign up or subscribe.
- Customer data you enter: the customer records, property and body-of-water details, service plans, chemical readings, and invoices you create while using the Service. This data belongs to you; we process it only to provide the Service to you.
- Usage data: basic technical information such as browser type, device type, and pages or features used, collected to keep the Service running reliably and to understand which features are actually used.
2. Where data is stored
Account and customer data is stored on secure cloud infrastructure with encryption in transit and at rest. We work with reputable infrastructure providers and apply standard security practices to protect data against unauthorized access.
3. Who we share data with
We don't sell your data. We share limited data with a small number of service providers ("processors") who help us run the Service:
- Paddle — our payment processor and Merchant of Record, which handles billing, tax, and payment data for subscriptions.
- Resend — our transactional email provider, used to deliver account, billing, and product notifications, including service reports sent to your customers.
- Cloudflare — our hosting and content delivery provider, used to serve the website and application securely.
Each of these providers processes data only as needed to perform their function for us and is bound by its own data protection obligations.
4. Legal basis for processing (GDPR) and California rights (CCPA)
Where the General Data Protection Regulation (GDPR) applies, our legal basis for processing account and customer data is performance of a contract (providing the Service you signed up for) and legitimate interest (keeping the Service secure and reliable). If you are a California resident, the California Consumer Privacy Act (CCPA) gives you the right to know what personal information we collect, to request its deletion, and to not be discriminated against for exercising these rights. We do not sell personal information.
5. Your rights
You can request access to the personal data we hold about you, ask us to correct inaccurate data, export your account and customer data, or request deletion of your account and associated data. To exercise any of these rights, contact support@pooltechdesk.com. We will respond within a reasonable timeframe and no later than required by applicable law.
6. Data retention
We retain account and customer data for as long as your account is active. After cancellation, we retain your data for up to 30 days to allow for export or reactivation, after which it is deleted from active systems, subject to backups that are purged on a routine cycle and any retention required by law (for example, billing records).
7. Cookies
We use only the cookies strictly necessary to keep you logged in and to remember basic preferences. We don't run third-party advertising trackers, analytics pixels, or cross-site tracking cookies on this site — there's nothing to opt out of, because there's no tracking in the first place.
8. Changes to this policy
We may update this Privacy Policy from time to time. We'll post the updated version here with a new "Last updated" date, and for material changes we'll provide reasonable notice by email or through the Service.
