What to include on a pool service invoice

  • Invoice number and the billing period it covers (weekly plans are usually invoiced monthly)
  • Property address and which body of water was serviced, if a customer has more than one
  • Line items matching the service agreement — no surprise charges at the end
  • Clear payment terms: due date, accepted payment methods, late fee policy if any
  • Your business name, contact info and, if applicable, license or insurance details

Printable invoice vs. invoicing in PoolTechDesk

A printable template is fine when invoices go out one at a time and get paid by check. It gets harder to keep track of once you're billing dozens of recurring customers every month. PoolTechDesk's billing feature drafts an invoice automatically for every active service plan at the start of the month, using the same line-item structure — so nothing sits unbilled because it fell out of view.
